Job Board
Updated by Darryl Waterhouse on 16 October 2026 · 12 min read
Job Board runs a recruitment board inside your admin. Companies post roles and contracts, agents recruit for the companies that invite them and represent the candidates who accept them, and candidates sign up, keep a profile and apply. Publishing a role costs credits, which companies and agents buy or are given. Everyone only sees the records that concern them.
What it does
- Adds three roles: Company, Agent and Candidate, plus staff (anyone with the Job Board Manage permission).
- Companies are set up by staff, or sign themselves up when you allow it (they then wait for your approval). Companies post roles, move applications on, arrange interviews, message applicants, keep notes and reviews, and invite agents.
- Agents work for every company whose invitation they have accepted: they post that company's roles and handle its applications. Agents also invite candidates to be represented by them, see their full profile, message them and keep notes.
- Candidates sign up on your public site, confirm by email, keep a profile (bio, work history, preferences), browse published roles and contracts, apply once per job, confirm or decline interviews and message the companies they applied to.
- Every role carries its type, and every contract its IR35 position (inside or outside) and whether that has been determined.
- Publishing a role costs credits (you set how many, or make it free). Companies buy credits by card, staff can gift them, and a company can pass credits to an agent working for it. Agents can buy their own.
- Sends emails and admin notifications to the people each event concerns.
- Shows a badge on the sidebar entry: new applications to review, or for a candidate, applications in progress.
There is no public job listing page and no shortcode that lists jobs. Candidates browse and apply for jobs inside the admin after they sign in. Do not advertise a public jobs page.
Getting started
Your site must be able to send email. Set up SMTP under Settings > Email first: without it, sign-up is closed and confirmation emails cannot be sent.
- Open Job Board in the sidebar.
- Click the cog in the banner to open Job Board settings. Switch on Candidates can sign up and, if you use agents, Agents can sign up. Both are off by default.
- Add each company:
- Under Users, create an account for the company's owner and give it the Company role.
- In Job Board, go to Companies and click New company in the banner.
- Enter the Company name and the Owner's email (the account you just made). Click Create company.
- Put the sign-up form on a page of your site (see Shortcodes), or link to
/jobs/join. - Tell the company owner to sign in and post their first job.
How people use it
Staff
- See and manage every job, application, interview and company.
- Create companies and hand a company to a different owner.
- Approve, suspend and reinstate companies.
- Gift credits to a company or an agent (Credits, then Gift credits in the banner).
- Change the settings (the cog): sign-up, approval, credits and packs, Stripe.
Company
- Sign in. The account opens on the Job Board.
- Make sure the company has credits (Credits): buy a pack, or ask the site to gift some.
- Post a job with Post a job in the banner. Choose the type of role; for a contract, set its IR35 position and status. Save it as a draft or publish it - publishing takes a credit, once per job.
- Invite agents from Companies: right-click the company and choose Agents.... Give an agent credits from Credits so it can publish for you.
- Review applications under Applications and move them on. Open an application to propose an interview, message the candidate, keep notes and leave a review.
A company account can also add a company of its own from Companies. When approval is on, that company waits as Pending until staff approve it. A company that is not active can draft jobs but cannot publish them.
Agent
- Sign up at the sign-up page (when agent sign-up is on), or use an existing agent account.
- Accept an invitation under Companies. Invitations are also emailed.
- Post jobs and move applications for the companies you work for. Publishing uses the company's credits; choose my credits in the job editor to use your own (buy them under Credits, or a company can give you some).
- Invite candidates under Candidates (by email). Once they accept, open them to see their full profile and how complete it is, keep notes, leave a review and message them.
- To stop working for a company, right-click it under Companies and choose Stop working for this company.
An agent never edits a company and cannot invite other agents.
Candidate
- Sign up at the sign-up page and click Confirm my email from the email. The link lasts 48 hours.
- Sign in and fill in My profile: headline, bio, skills, work history, CV, and your preferences (the types of role, IR35, remote or not, locations, keywords, minimum pay).
- Open Jobs. Matches me shows the roles that fit your preferences. Right-click a job and choose Read it and apply. Add a cover letter and CV address and click Apply.
- Follow progress under Applications. Interviews proposed to you are on the application and under Interviews: confirm or decline them. Withdraw my application is on the application's page.
- Agents who want to represent you appear under My profile: accept or decline. Messages from companies and agents are under Messages.
- Collect testimonials under My profile: show the ones companies and agents write for you, and add your own from past employers.
Screens
All screens are under Job Board. A tab row under the banner links them. Which tabs show depends on the account.
Overview
Tiles that link to the right list. Staff, companies and agents see Jobs, Published, New applications and All applications, and Companies for agents and staff. Staff also see Companies to approve. Candidates see Jobs open to apply for, Applications sent, In progress and Offers. A Recent applications list sits underneath.
Banner buttons: Post a job for teams, Browse jobs and My profile for candidates.
Jobs
- Filters: All, Published, Drafts, Closed. Candidates get All, Not applied, Applied.
- Right-click a job (or use its menu) for Edit, Applications, Publish, Close..., Back to draft and Copy job id.
- Candidates get Read it and apply (or Read it) and My applications.
Job editor
Fields: Job title, Company, Description, Type (Permanent, Full-time, Part-time, Fixed-term, Contract, Temporary, Freelance, Internship), for contract types IR35 position (Inside, Outside) and IR35 status (Determined, Pending), Status (Draft, Published, Closed), Pay from / to (£) and per (year, day, hour), Duration, Start date, Closing date, Location, Skills and Remote. Agents also choose Publish using (the company's credits or their own). Click Save job or press Ctrl+S.
A job cannot be published without its type, and a contract not without its IR35 position and status. Publishing takes credits (see Credits); a job is only ever charged once. A job's company cannot be changed once it is posted, except by staff.
Applications
- Filters: All, New, In progress, Offered, Closed, plus a search and a filter by job.
- Right-click an application for Open application, Open the job, Open CV and Set status.
- Set status moves it to Reviewed, Shortlisted, Interview, Offered or Rejected. Making an offer or turning an application down asks first.
The application page shows the company, candidate, email, date applied, CV link, cover letter and the candidate's profile. Companies and agents only see a candidate's profile through that candidate's application (or, for an agent, through a candidate it represents). There is no way to browse candidates.
On the application page the team can also:
- Propose an interview (date and time, length, in person / video / phone, where, details for the candidate). The application moves to Interview and the candidate is told. The candidate confirms or declines; the team can reschedule (which asks the candidate again), cancel or mark it done.
- Message the candidate (and the candidate the team) - the conversation is under Messages.
- Keep notes about the candidate (seen by the company's team only, never by the candidate) and leave a review (1 to 5 and words). The candidate sees only how many reviews they have and the average.
- Write a testimonial for the candidate. Unlike a review, a testimonial is for the candidate: it waits for them to accept it, and once shown it appears on their profile to every company and agent they deal with.
Companies
Hidden from candidates.
- Staff and company accounts click New company in the banner. Fields: Company name, Industry, Location, Size, and Owner's email (staff only).
- Right-click a company for Edit..., Agents... (invite an agent by email, remove an agent or withdraw an invitation) and, for staff, Approve, Suspend or Reinstate.
- Agents see an Invitations card here to accept or decline.
My profile
Candidates only. Fields: Headline, Bio, Skills, Years of experience, Available (Immediately, In 2 weeks, In a month, In 3 months, Not available), Location, Phone, LinkedIn and CV address; Work history (employer, title, from, to or current, a summary - as many as you like); Preferences (types of role, IR35 position, remote / hybrid / on site, locations, keywords, minimum pay). Click Save profile. This is what a company sees beside an application, and what Jobs uses for Matches me.
My agents at the top lists agents who have invited you (accept or decline) and the agents representing you (stop at any time).
Testimonials are yours to control. A company or agent you worked with through the board can write you one; it waits here until you choose to show it (or hide it). You can also add what a past employer said about you (it is marked as added by you). Shown testimonials appear with your profile wherever a company or agent sees it.
Candidates
Agents only. The candidates you have invited and those who accepted. Invite a candidate in the banner (email and a note). Open a candidate to see their profile, how complete it is and what is missing (useful when onboarding them), your notes, your review and a Message button.
Interviews
Everyone sees their own: the team its companies' interviews, a candidate theirs. Upcoming / Past filters. Right-click one to reschedule, cancel or mark it done (the team), or to confirm or decline it (the candidate).
Messages
Conversations between a candidate and the team of a job they applied to, and between an agent and a candidate it represents. Nobody else can read them. New messages show in your notifications and by email (unless the same person wrote within the hour).
Credits
Company owners, agents and staff. Each wallet (a company's, or your own as an agent) with its balance and history. Buy credits offers the packs the site sells (paid by card through Stripe; you come back here when it is done). A company's owner can Give credits to an agent working for it. Staff Gift credits to any company or agent. If the site has not set up card payments, the screen says to get in touch instead.
Settings

Sign-up
Candidates and agents can sign up, and companies when you switch it on (they give their company's name and wait for approval).
- The sign-up page is
/jobs/join. The confirmation page is/jobs/verify. - Visitors choose Looking for work, A recruitment agent or Hiring for a company (only the types you have switched on), then enter their name, email and password (and the company's name) and click Create my account.
- The account stays inactive until the email address is confirmed.
- An address that already has an account gets an email saying so instead. The form looks the same either way.
- Sign-up is limited to 5 attempts an hour from one address.
- If sign-up is off or email is not set up, the form says signing up is not open.
Shortcodes
Put the sign-up form on any page. The shortcode must be self-closing (end in /]).
[job-board-signup /]
Only the candidate or only the agent form:
[job-board-signup type="candidate" /]
[job-board-signup type="agent" /]
[job-board-signup type="company" /]
With your own heading:
[job-board-signup type="candidate" heading="Join our talent pool" /]
There is no shortcode that lists jobs.
Permissions and roles
In System > Roles, Job Board adds the permission Job Board with two actions:
| Action | Label | Meaning | Granted by default to |
|---|---|---|---|
| read | Use | Open the Job Board as a company, agent or candidate | Admin, and the three Job Board roles |
| manage | Manage | Staff: every job, application and company, approvals and settings | Admin |
Super Admins hold both. You can give Manage to any other role to make its holders staff.
The plugin adds three roles:
- Company, Agent and Candidate. Each is limited to the Job Board screens and their own notifications. You can change that scope under Roles.
- These roles work as a primary role or as an additional role.
Notifications
Four sources appear under Notifications > Sources. Each goes only to the people concerned.
- New applications: a new or withdrawn application, to the company's owner and its agents.
- Application news: to a candidate when their application moves on.
- Agents and invitations: invitations, acceptances, declines, removals and agents leaving.
- Companies: a company waiting for approval (to Super Admins by default), and approval, suspension or reinstatement (to the owner).
- Credits: credits bought, gifted or passed on (to the wallet's owner).
- Messages: a new message (to the other people in the conversation).
- Interviews: proposed, moved or cancelled (to the candidate); confirmed or declined (to the team).
- Agents and candidates: an agent's invitation (to the candidate); the answer (to the agent).
- Testimonials: a company or agent wrote a candidate a testimonial (to the candidate).
Tips
- Unsaved work is kept when you leave a screen and offered back next time, saying if the record changed since. A reply you have not sent stays with its conversation, marked Draft. Drafts belong to the person who wrote them.
- Create the company owner's account under Users with the Company role before you create the company. Otherwise the company cannot be saved with that owner.
- To hand a company to someone else, edit it as staff and change the Owner's email.
- Someone without access to a record sees "not found" rather than "forbidden", so they cannot tell whether it exists.
Limitations
- No public job listing page or jobs shortcode. The only public parts are the sign-up and confirmation pages.
- The closing date is shown on a job but does not close it. Close it by hand from the Jobs list.
- Candidates apply once per job.
- A withdrawn application stays withdrawn. Only staff can change it.
- Application statuses and job types are fixed.
- Credits are bought through Stripe only. Without a Stripe key, staff gift credits by hand.
- Reviews and notes are never shown to the person they are about (a candidate or agent sees only its review count and average). Testimonials are the opposite: written for the candidate, shown only when the candidate agrees.
- Sign-up needs working email (SMTP).
